How to use the Ledger Automation Tool
Turn any bank statement into ledger-wise Receipts & Payments entries, ready to import into Tally or Zoho Books. The tool learns your ledgers as you go, so it gets faster every time you use it.
Download & open
- Download SUM-IT Ledger Automation Tool.exe using the button below.
- Put it in its own folder (e.g. a "SUM-IT" folder on your Desktop). The tool keeps your settings and output files next to it, so a dedicated folder stays tidy.
- Double-click the .exe to open it.
First-time Windows note: if you see "Windows protected your PC," click More info → Run anyway. This appears for all new tools; it's safe. Also, the tool takes up to a minute to open the first time — that's normal, just wait for the window to appear.
No Python or installation needed — everything is built in.
The four steps
Step 1 — Client & statement
- Client name / code: type a short name for the client (e.g.
SHARMA_TEX). Use the same name each time — the tool keeps each client's learning separate. Once you've used it before, just start typing and past names auto-suggest. - Statement file: click Browse and select the bank statement you downloaded (Excel, CSV, or PDF).
- Bank ledger name: type the bank account name exactly as it appears in Tally/Zoho (e.g.
SBI Current A/c). - Click Process →.
Step 2 — Results
See how many transactions were sorted automatically. Click Review → to handle anything the tool didn't recognise.
Step 3 — Review (only for new parties)
For each unrecognised transaction, pick or type the ledger it belongs to, then click Save & next.
ABC Traders or Rent Paid. This name is carried straight into the import file, so it must match a ledger that already exists in your books, or the import will reject it. The tool remembers this name and reuses it for the same party next time, so keeping it consistent avoids duplicate ledgers later.You only do this once per party — next time the same party appears (even with a different reference number, or via UPI vs NEFT), it's sorted automatically. Repeats of the same party in the current statement are filled in for you instantly.
Step 4 — Export
The tool saves three files next to the .exe:
- output_<client>.xlsx — a ledger-wise Receipts & Payments report.
- tally_<client>.xml — import via Gateway of Tally → Import Data → Vouchers.
- zoho_<client>.csv — import into Zoho Books' banking / journal import.
The original bank narration is carried into each entry, so your books keep the transaction description.
First time it sees a new bank
If a statement layout is new, the tool shows a "Map the columns" screen. Just tell it which column is the Date, Narration, Debit, and Credit (dropdowns list the real column names from your file), give the format a name, and save. It remembers that bank forever — you won't be asked again.
Tips
- Always test one import in a dummy company / test org first, to confirm the ledger names match your books. (Tally rejects vouchers for ledgers that don't exist yet.)
- Prefer Excel/CSV downloads over PDF when your bank offers both — they're read more reliably.
- Keep the .exe in its folder so your learned data and reports stay together.
